1. Scope

This policy explains what Hoffman Consulting and Sales LLC dba Knoqly Fiber ("Knoqly") collects through the Knoqly Platform, why, who sees it, and how long we keep it. It covers reps, recruiters, and managers who use the Platform, and the customers and prospects whose details reps enter.

Customers of an internet provider are also covered by that provider's own privacy policy. Knoqly collects customer details only as a sales vendor to the provider.

2. What we collect, by role

Reps, recruiters, and managers: name, email, phone, market, and the manager you report to; sign-in records; training completion and quiz results; permit and badge status and expiration dates; W-9 fields (legal name, address, taxpayer identification number) for tax reporting; the last 4 digits of your Social Security number, date of birth, and consent, passed to a background-check vendor; bank details for payouts; and the sales, payouts, chargebacks, and complaints tied to your account.

Customers, entered by a rep at a sale: name, service address, phone, email, the provider's plan selected, and the order ID the provider issued. Prospects who did not buy: name, address, phone, and email if the rep records a follow-up lead.

Automatically: server logs with IP address, browser type, and the pages requested, kept for security and debugging.

3. Why we collect it

To run the program: onboard and verify reps, assign turf, record sales, reconcile them against the provider's install reports, calculate and issue pay, handle chargebacks, and answer complaints.

To meet obligations: tax reporting, background checks required by providers and municipalities, permit compliance, and the provider's rules on customer data.

To keep the service secure and to improve it. We do not sell personal information and we do not use it for advertising.

4. Who sees what

Access follows the reporting chain. A rep sees their own profile, sales, and pay. A manager sees the same for the reps under them in the chain, and no one outside it. Knoqly administrators see the whole organization. Rate cards and pay figures for one person are never shown to a peer.

Providers receive the customer and order details for sales made on their program, and may receive a rep's name, badge status, and complaint history for that program. Providers do not receive a rep's pay, tax, or bank details.

Background-check vendors receive the identity fields needed to run the check. Payment processors receive the details needed to pay you. Law enforcement or regulators receive data when the law requires it.

5. Service providers

Hosting and database: Vercel and Supabase, United States regions. They store and serve the Platform on our behalf and are bound by their standard data-processing terms.

AI model provider: Anthropic. When a rep enters a sale by uploading a screenshot of the provider's order confirmation, the image is sent to Anthropic's API once, to read the order ID and plan details into the form for the rep to confirm. The screenshot is not stored by Knoqly after the fields are extracted, and Anthropic's API terms state that API inputs are not used to train its models. No other use of AI models is made with personal data.

We will update this list before adding any provider that handles personal data.

6. Customer proprietary network information (CPNI)

Internet providers are regulated under 47 CFR Part 64, Subpart U, which governs customer proprietary network information. Knoqly handles provider customer data as a vendor under that regime and under each provider's contract.

Our commitments: reps see only what the sale needs (address, serviceability, offer, order ID) and never call, billing, or account records; customer data is entered in the Platform and nowhere else, never in texts, personal notes, or phone photos; every rep completes CPNI training before badge activation and yearly after; access and disclosure records are kept at least 1 year; and we notify the provider within 24 hours of discovering a breach affecting its customers.

7. How long we keep it

Sales, payout, chargeback, and complaint records: at least 7 years, because they support tax filings and provider audits. These records are append-only and cannot be edited after entry.

Rep identity and tax records: the length of the relationship plus 7 years. Background-check results: as long as the vendor and provider rules require, then deleted.

Customer details on a completed sale: as long as the provider's contract requires, then reduced to the order ID and a normalized address for reconciliation. Prospect leads that never became a sale: deleted after 120 days.

Server logs: 90 days. Account records for a closed account: the periods above still apply to records we must keep.

8. Your rights

You can see and correct your own profile inside the Platform. You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, subject to the retention rules above. Send requests to the contact below; we answer within 30 days.

Customers and prospects can make the same requests, and we will pass a customer's request to the relevant provider where the provider controls the data.

9. Security

Data is encrypted in transit and at rest by our hosting providers. Sign-in uses a signed, HTTP-only session cookie. Access is scoped by role and reporting chain. Money and legal records are written to an append-only, hash-chained log so changes leave evidence.

10. Children

The Platform is for adults working or managing a sales program. Nobody under 18 may hold an account. We do not knowingly collect information from anyone under 18; if we learn we have, we delete it.

11. Changes

We may update this policy. The new version is posted with its effective date, and Platform users see a notice at their next sign-in.
